Access: who can open your workspace's previews

Workspace owners and admins see every preview in the workspace that someone can open, who that is, and remove or widen that access, from the Access section of the Admin tab.

A preview is something an agent is running on its computer and showed in a chat, before it is an app. Showing it in a chat opens it to that chat, so people can reach a preview without it ever appearing in search, the library, Home or the Apps and Files tab. Access is where a workspace owner or admin sees all of them in one place. Apps are not listed here: each app's own card and page already show who can open it. Finding it

Open the workspace dashboard, go to the Admin tab and choose Access. Only workspace owners and admins see it.

What each row shows

Every preview in the workspace that at least one chat, person or agent can open gets a row:

• The preview's name.
• Who can open it, as a label: one chat, a number of chats, named people only, or everyone in the workspace.
• The computer it runs on and the ports it answers on.
• Each chat that can open it, with that chat's picture and name.

A preview nobody can open is not listed. When no preview in the workspace is open to anyone, the section says so.

Changing who can open a preview

The label on each row is also the control. Press it to widen the preview to everyone in the workspace, or to narrow it back. Under the choices, every chat, person and agent that can open the preview is listed by name with who granted it, and each has its own Remove, the chat the preview was first shown in included. Removing one closes the preview to it within moments. Changes here are the same changes as on the preview's card in the chat, so the two always agree.

A link that anyone can open needs an app. To give someone outside a link, ask the agent to make the preview into an app and publish it.

Where else previews show who can open them
